EXTERNAL DOCUMENTS – Newly Introduced

ImpexDocs has recently introduced more improved and enhanced functionality of adding EXTERNAL DOCUMENTS to shipment orders.


THE EXTERNAL DOCUMENT feature helps you to add/upload the documents obtained outside of IMPEXDOCS to your shipment order, group the PDF documents in different categories/folders, and preview the external documents on-screen along with other enhanced features.

  • You will now be able to view the list of External documents outside on MASTER below the document list instead of navigating to MASTER > DOCUMENT TAB every time.
  • You will be able to group various external documents into different categories/folders and add them to your Document list to save them all in one place.
  • You will now be able to preview the external document on the ImpexDocs screen itself.
  • You will be able to upload various types of file formats or extensions as External Documents.


Note: Merge functionality is restricted to PDF files only and is not applicable to any other file extensions.


Let’s have a look at how this feature works for you.


# OLD/EXISTING ORDERS WITH EXTERNAL DOCUMENTS

  1. No functionality changes in the old MASTER > DOCUMENT TAB which was being used to add external documents earlier.
    1. The only change you will see is drag and drop functionality is now available within the UPLOAD EXT DOCS button

2.  You will be able to view the already existing EXTERNAL DOCUMENTS below the Document list outside of Document Tab in one place for quick glance.


2.1. You can download the file directly from outside by clicking the document name.

# NEW ORDER | How to add External Documents


  1. Navigate to MASTER > DOCUMENT TAB.

2. Click on the UPLOAD EXT DOCS button > Use functionality to drag & drop from your PC or Upload from the local system and click on UPLOAD.

  1. A pop-up will open where you can select the category of the document.

Note: By default, we have provided a limited number of categories, but you can add more categories by navigating to SETTINGS  Qr code

b.  Next you can select if this document should be added as a part of document list in the order or not.

 

  1. If selected “YES”, next you can select the folder/category in which you would like to assign that document.

 

  1. If You would like to create a NEW FOLDER for the document, Click on the MANAGE TEMPLATE LIBRARY button available at the bottom center of the pop-up.

> Provide the Folder name and click SAVE.

2. Select the new Document Folder created from the dropdown or use the default folder “EXTERNAL DOCUMENT” and click UPLOAD.

3. If you would like to add more documents to this folder, you can click on ADD MORE DOCUMENTS button or use the CANCEL button to close the pop-up window.

ii. If you don’t want it to be a part of the DOCUMENT LIST. Don’t check the option and it will be added under EXTERNAL DOCUMENT.

3.  Navigate to NEW FOLDER CREATED and add more documents if you like, download or preview.

NOTE: You will only be able to add PDF FILES in this folder.

4.  To add any other file format including PDF e.g., word/excel/zip/email/images as an EXTERNAL DOCUMENT > Add them by clicking on the EXTERNAL DOCUMENTS link provided below the Document List, highlighted in blue.
