All about E-mail Template

ImpexDocs regularly monitor and update its system to provide better services to the clients, enable them to perform their documentation work digitally, effectively and in a timely manner.  


On a regular basis, You must be interacting with various Departments, Shipping lines, Business units, Customer and Partners and must be sharing details related to Sales Order/Purchase Order/Shipment documents, etc.  via Email. 


We are Introducing Email Template which will help you to create email samples with related information to Sales Order/Purchase Order and for Various Documentation purposes. You just need to format the Email Body as per your business needs or as per particular communication requirement in Email Template and Save it and whenever you are writing an Email, Just select the corresponding template from the Email Template list dropdown. 


To create an Email Template and how to use them as per business needs.

 Step 1: Log in to IMPEXDOCS

 Step 2: Go to Settings --> General --> Email Template as highlighted below.


Step 2:  Click on the +Add button
 Step 3:  Enter detail  

  • Email Template Title
  • Select Module (ex.- Shipment, Sales, Purchase) from the list drop-down, 
  • Select View Draft under the Section
  • Write Email Subject (Select Placeholder from the list)
  • Write Email Body  (Select Placeholder from the list)


Note: Placeholder - Placeholder is a list of data fields available on-screen(SO/PO/Shipment). While creating an email template, You can select the fields by name from the list by clicking on Selected Placeholder will capture value from the data field and populate it in the Email. This will reduce repetitive typing and manual typing errors.

 

Step 4: After completion, mark template Active and assign visibility (Company wise / Only to my login)

Step 5: Click on Save. 


The created Email template will be visible under the Email template list and will be available to use in the respective module. 


Example: Email Template for Sales Order


In this example, we are creating an email template for the Sales Order.


  • Go to Settingà GeneralàEmail templateà Click +add button
  • Below screen will come
  • Give template title, select module Sales, Section- View draft, enter Subject line, write content for your email and get data from sales order with the help of placeholders for sales by clicking on the Insert Placeholder button, this will fetch the data entered in sales order and will populate it automatically when this template is used for email.

  • while sending email from SO, select created email template as shown below, all placeholders will fetch data from SO and populate in the email content.
