Splitting or Combining RFP's into Custom Certificate

CUSTOM CERTIFICATE

The EXDOC system has a facility to allow creation of Customised Health Certificates for GRAIN / HORTICULTURE Commodities. 

By using this facility, you can combine more than one RFP onto a single Health Certificate, or you can split a RFP onto more than one Health Certificate. 

This type of Certificate is necessary where the RFP can have more than one Consignee (as for Grain).

 

To be eligible for a Customised Health Certificate, the RFP must meet the following criteria

 

1. It is for a Commodity that is valid for this type of Health Certificate.

2. It has been created with a Health Certificate Print Option of "Custom Certificate".

3. It has reached Status of "HCRD".

Adding Custom Certificate to the Shipment Order

 

1. Click on + icon on the left-hand side DOCUMENT list to select and add the Custom Certificate to the shipment order.

2. Click on Custom Certificate in the list to navigate to the custom certificate screen.

HEADER SECTION

On this section, you have to select two fields –

  1. Commodity Type – Grain or Horticulture 
  2. Button -Copy Header Details from RFP - On selecting RFP from list, booking details, Consignee details along with Import number will auto populate. If you would like to make amendments, you can manually make changes afterwards.






LINE SECTION

Scenario 1 – Combining multiple RFPs to one Custom Certificate

  1. If multiple RFP’s have different product code/description/fumigation/endorsement then you have to add separate lines as mentioned in the different RFPs by clicking on ADD NEW LINE button.
  2. If multiple RFP’s have same product code/description/fumigation/endorsement, click on ADD NEW LINE button to create one single line with combined RFP’s.

Scenario 2 – Splitting 1 RFP into multiple custom certificate


  •  Click on three little dots to open the list to create/add multiple copy of existing custom certificate and adjust later on.

  • Enter HEADER level details as mentioned in above pages.
  • Navigate to LINES section to add new line in the custom certificate by clicking on ADD NEW LINE button.
  • Fill out line details as shown in the screenshot.

Few things to note here –


  1. Exporter Reference should be unique for each, and every RFP’s and Custom Certificates created.
  2. Any treatment/ process details associated with the RFPs will be auto fetched and will not be available on custom certificate screen.
  3. When submitting Custom Certificate, no need to submit RFP separately. 
  4. RFP will automatically go to COMP on completion of all the customer certificate.
  5. While combining RFPs into one Custom Certificate, make sure that the booking details are same as of RFP.
  6. When splitting RFP into multiple custom certificates, make sure that the quantity values of the combined custom certificates should match exactly with the original RFP values otherwise it will get REJECTED even for minor decimal mismatch.
