How to send the shipping schedule to your Customers?

ImpexDocs now gives the flexibility to send shipping schedules to your Buyer/Consignee/Notify Party! Multiple schedules can be created for these reports. 

The report will be sent as a Microsoft Excel attachment

 

There are three worksheets in the Excel report:
 

  • InProgress  This worksheet lists the shipments which are active and currently being scheduled and planned for loading.      
  • Departed  This worksheet lists the shipments which are on their way to the destination.     
  • Arrived This worksheet lists the shipments which have arrived at the destination recently (ETA plus 21 days)

 

Steps to Schedule and add Subscribers

 

  • Click on the relevant report (Buyer/Consignee/Notify Party)

    • If no schedule exists, Create Schedule for that report

    • Click on the three dots button next to the report row, and then select the relevant report (Buyer/Consignee/Notify Party) and enter the schedule frequency and schedule time, email subject and Save


  • Once you have double click, you will now be able to see the report here, and then you can Manage (Add multiple subscribers at the same time, by clicking on this button)
  • The system will lead you to Scheduled Reports & Subscribers Section for the selected requirement in the previous step. Here you just need to click on the Manage Subscribers button.

  • Here you can Add the Buyer / Consignee /Notify Party (Contacts from that Buyer / Consignee /Notify Party) by clicking on the ‘+Add Subscriber button’.

Pro tip: You can also see all the Buyer / Consignee /Notify Party (& contacts from that Buyer / Consignee /Notify Party) that are currently subscribed to the report.

 

  • You can effectively search through this list, once you get the contacts, you just need to click on the check box and hit ‘Save’.

  • Voila ! The customers will now regularly get the reports.
  • You can change their frequency of delivery, add a subject line, add anybody text that you’d want to be sent in the email by clicking on the Pencil button next to their schedule; or if you don’t want to send to them, click on the ‘Bin’ button and they will be unsubscribed.
