Create a Report Schedule

This article provides information about how to create a report schedule to be run on a specified time and print the email copy.

Overview


The All tab in the Reports screen allows an authorized user to create a report schedule and send the report data to one or more recipients via email. The report scheduler allows the user to write an email message and print the email message.


Procedure


  1. On the menu bar, click Reports.
    It opens the Reports screen containing the All, Favourite, Customer/Partner, and Schedule & Subscribers tabs.

  2. In the Schedule & Subscribers tab, click Create Schedule.
  3. In the New Scheduler dialog box, click the Ellipse (...) icon to open the Report List and double-click on a report name.
    XLS is the default format for exporting the report file and it is preselected as Export File as option.
  4. Under Report Scheduler, fill in the following information:
    1. Click in the Start Date box and select a date.
    2. Select a time from the Time dropdown.
    3. Select a time zone from the Time Zone list.
    4. Select any of the following options from the Repeat Type list:
      1. Daily
      2. Weekly
      3. Monthly
      4. Quarterly
      5. Yearly
    5. Select any of the following End Repeat options:
      1. Never
        Select this option always run the scheduler .
      2. On
        Select this option to set an end time for the scheduler.
      3. After Occurrence 
        Enter the number of occurrence after which the scheduler stop.
  5. In the Recipient Emails field, enter one or more email recipients separated by semicolon.
    Or
    Click Ellipse and select any of the following options:
     
    • Lookup Contacts: Select this option to open the Select Users dialog box, select the users to add as a recipient, and click OK.
      Click Clear to remove all added recipients from the Recipients field.

      Or
    • Lookup System Users: Select this option to open the Select Users dialog box, select the system users to add as a recipient, and click OK.
      Click Clear to remove all added recipients from the Recipients field.
  6. Enter a subject in the Email Subject field.
  7. Draft the email message in the body area and click Save.
  8. Click Print to preview and print the email content.
    Depending on the other installed applications, the Print dialog box may list multiple print Destination such as Save as PDF, OneNote for Windows 10, Save to Google Drive, <connected printer device>, etc.


The report is also exported in XLS format when the scheduler runs on the specified time.


Result


The report schedule will be saved and it will run as per the set date and time.
